AccXite Workforce ("we", "us", "our") provides workforce software services to employer organizations. This Privacy Policy explains how personal information is handled for the AccXite Workforce web, PWA, and mobile applications (the "App").

1. Employer-Managed Accounts

Accounts in the App are employer-managed. Employer administrators (for example HR or IT) create, manage, suspend, and deactivate user accounts.

Users cannot self-register or directly delete accounts in the App. If a user requests account deletion or personal data removal, the request is handled through the employer administrator.

2. Information We Process

Depending on employer configuration and user role, we may process:

(a) account and profile details (name, work email, role, employee identifiers);

(b) authentication and security data (session data, MFA status, security events);

(c) device and technical data (app version, platform, device identifier, diagnostics);

(d) push notification tokens and delivery metadata (FCM/APNs/web push);

(e) workforce and operational records (for example shifts, tasks, attendance, approvals, roster activity).

3. How We Use Information

We use personal information to:

(a) provide and secure App services;

(b) authenticate users and enforce access controls;

(c) deliver employer-configured notifications and workflow actions;

(d) maintain service reliability, auditability, and compliance;

(e) investigate incidents and provide support.

4. Disclosure and Service Providers

We may disclose information to:

(a) the employer organization controlling the account and data;

(b) infrastructure and service providers acting on our instructions (including hosting, logging, and messaging providers such as Firebase/APNs for push delivery);

(c) legal, regulatory, or government authorities where required by law or valid legal process.

5. Legal Basis and Role Allocation

For employer-managed environments, the employer is typically the data controller for workforce records, and AccXite typically acts as processor/service provider for those records. For limited business operations data, AccXite may act as controller where required by law.

6. Data Retention

We retain data only as long as needed for service delivery, security, contractual obligations, and lawful business purposes, and as required by applicable law. Some records may be retained for payroll, tax, audit, legal, compliance, or dispute resolution purposes.

7. Security

We apply reasonable technical and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, and alteration. No internet transmission or storage system can be guaranteed to be fully secure.

8. International Transfers

Depending on service architecture and subprocessors, data may be processed in Australia and other jurisdictions. Where required, we apply safeguards for cross-border transfers.

9. User Rights and Requests

Users should direct access, correction, deletion, or objection requests to their employer administrator, who controls account lifecycle decisions for employer-managed accounts.

Where law requires us to process requests directly, we will do so or coordinate with the relevant employer.

10. Cookies and Analytics

The App and related web properties may use cookies or similar technologies for session handling, security, and service performance. Any analytics use is limited to operational and product improvement purposes.

11. Children

The App is intended for workplace use and is not directed to children.

12. Changes to This Policy

We may update this policy from time to time. The latest version will be published on this page with an updated date.
